How to choose digital signage software

Eight criteria decide whether signage software fits a small team. Each one comes with a question you can put to any vendor, plus a check you can run in the trial.

Short answer

To choose digital signage software, check eight things: which features each plan includes, which players and screens it supports, whether screens play without internet, how easy it is for non-technical users, integrations, design and AI help, the full price per screen, and the trial. Screenbird fits small teams with mixed screens.

How do you choose digital signage software?

Choose by testing the software against the screens, the people and the content you already have. A feature list alone does not show whether a non-technical colleague can update a playlist on Monday morning. The checklist below turns each criterion into one question for the vendor and one check for the trial.

Checklist: eight criteria and the question to ask every vendor
CriterionQuestion to ask the vendor
1. Features per planWhich features are in the plan I am pricing, and which sit in a higher tier?
2. Players and screensWhich players and TVs do you support, and can I mix them in one account?
3. Works without internetWhat do screens do when the internet drops, and which content types stop?
4. Ease for non-technical usersHow long does it take a person without IT skills to pair a screen and change a playlist?
5. IntegrationsCan screens show the files and data I already use, directly from where they are stored?
6. Design and AI helpCan I design screens in the tool, how many templates are included, and what can the AI do?
7. Price per screenWhat is the total per screen per month, including storage, add-ons and the player?
8. TrialHow long is the trial, what does it include, and how do I cancel?

1. Which features are included in the plan or tier?

Many platforms spread features over tiers, so the headline price can exclude proof of play reports, integrations or scheduling options. Write down the five features you need and check which tier holds each one. The price you compare is the price of that tier.

Ask the vendor: which of these features are in the plan I am pricing, and which need a higher tier? Screenbird has every feature in one plan.

2. Which players and screens does the software support?

A signage account often ends up with a mix: a Fire TV in the lobby, a Samsung TV in the cafe, a Windows mini-PC in the office. Software that supports only one player type forces you to replace screens. Ask for the list of players and TVs, and ask whether you can mix them in one account.

Ask the vendor: which players and TV models do you support today, and can I mix them in one account? Screenbird runs on the Amazon Signage Stick, Fire TV (Fire OS), Google TV and Android, Windows, Mac, Linux, Raspberry Pi and any modern browser. Recent Samsung and LG smart TVs run it in the built-in browser. The page on digital signage on a Mac covers the Mac player.

3. Does it keep playing without internet?

Networks fail, and a blank screen in a shop is visible to every customer. Content stored on the player can keep playing through an outage, while live content such as a web page depends on the connection. Vendors handle this differently, so ask for specifics.

Ask the vendor: what happens to screens when the internet drops, and which content types stop? Screenbird stores each screen's content on the player, and screens keep playing when the internet drops.

4. Is it easy for non-technical users?

Signage is usually run by someone who has other work: an office manager, a restaurant owner, a teacher. The test is whether that person can pair a new screen, replace an image and schedule a playlist without help. Run exactly that test in the trial.

Ask the vendor: how long does it take someone without IT skills to pair a screen and change a playlist? Screenbird shows a 6-character pairing code on the screen, which you enter in the dashboard or scan as a QR code, and the dashboard is available in 15 languages.

5. Does it connect to the data you already have?

Menus, rosters, prices and KPIs usually live in spreadsheets, calendars or reports. Integrations let the screen show them directly, which saves retyping and keeps the screen current. List the tools your team uses and check each one by name.

Ask the vendor: can screens show my spreadsheets, calendars and reports directly, and how do updates reach the screen? Screenbird works with Google Sheets, Slides and Calendar, Power BI, Excel, SharePoint and OneDrive, Canva and Instagram. See how to show Power BI reports on a TV and the Excel integration.

6. What design and AI help is included?

Content takes more time than hardware. A built-in designer with templates and an AI assistant reduce that time, particularly for teams without a designer. Check whether these are in the plan or sold separately.

Ask the vendor: can I design screens in the tool, how many templates are included, and what can the AI do? Screenbird includes a designer with more than 250 templates and an AI assistant that builds playlists and schedules or creates a design from plain-language instructions. Changes go live after you confirm.

7. What is the full price per screen?

Compare the monthly price per screen, the billing period, the storage included and any add-ons. Then add the player, because the software subscription usually does not include one. The page on what digital signage costs lists each cost item.

Ask the vendor: what is the total per screen per month, including storage, add-ons and the player? Screenbird costs EUR 12 per screen per month billed annually or EUR 15 billed monthly, excluding VAT, with 10 GB of storage per screen included. The player is bought separately.

8. What does the trial include?

A trial is the only way to test criteria 2 to 6 with your own screens. Check how long it runs, whether it includes every feature and what canceling involves. Put a real screen on a real wall during the trial.

Ask the vendor: how long is the trial, does it include every feature, and how do I cancel? Screenbird has a 7-day free trial with every feature; a credit card is required, and canceling within 7 days means you are not charged.

How do you run the comparison?

  1. List your screens: how many, which players or TVs, and where they hang.
  2. Write down the content you will show in week one, such as a menu, opening hours and a promotion.
  3. Pick two or three platforms and send each the eight questions above.
  4. Start a trial with each on one real screen and build the same week-one content.
  5. Ask a non-technical colleague to change the content without help, and note how long it takes.
  6. Compare the full price per screen, including the player, for your screen count.

Where Screenbird fits

Screenbird is built for small teams with mixed screens that want every feature in one plan for a low entry price. It matches the criteria above because the features, the integrations, the designer and the AI assistant are all in the same plan, and because it runs on a wide range of players. The page on Screenbird's features lists them.

For mixed setups, see the player and platform list, and the Signage ROI pages on software for small businesses and software for mixed screens.

What features should digital signage software have?

Start with playlists, scheduling, support for your players and screens, and a way to keep playing without internet. Add integrations, a designer, proof of play and screen on and off scheduling if you need them.

How do I compare digital signage software prices?

Compare the price per screen per month for the tier that contains the features you need, the billing period, the storage included and the player cost. A lower entry price can exclude features that a higher tier holds.

Do I need a technical person to run digital signage?

Not with software built for non-technical users. Test it in the trial: a colleague without IT skills should be able to pair a screen and change a playlist alone.

Which digital signage software is best for small teams with mixed screens?

Screenbird is built for that case: one plan with every feature, from EUR 12 per screen per month billed annually, running on Amazon Signage Stick, Fire TV, Google TV, Windows, Mac, Linux, Raspberry Pi and browsers.

How long should a trial last?

Long enough to put a real screen on a real wall and change content several times. Screenbird has a 7-day free trial with every feature; a credit card is required.

Can I switch software later?

Yes, but plan for the time to rebuild playlists and re-pair players. Keep your original images and videos in your own storage so they can move with you.
